6/20/06 Thescorre Business Meeting
Genesee Valley Park
Steffan, seneschal
25 Thescorreans present

Pre-Meeting: Happy birthday to Lionheart and Matilda!

1. Curia Next Month, Policy Change Proposal
Steffan opened the meeting by reminding folks that July’s business meeting will be Baronial Curia. He had one proposal for policy change, from Cedric & Peregrine, to change the wording on the Broche and Black Talon orders from “This is not a polling order” to “This is a polling order.” Katja added that Their Excellencies had told her and Eric that this was a typo in the policies—that the two orders had been presented and approved as polling orders—and that this proposal was simply to correct that typographical error.

2. Pax Interruptus
We have about 30 onboard reservations, Orianna reported. Feast cut-off is 100, so please reserve soon. Phillipe asked how many people we would need to break even; Orianna had reported in April that we would need some combination of 140 adult campers and daytrippers to break even.
Both TRMs and TRHs plan to attend the event, so there will be a Kingdom Court in addition to two Baronial Courts.
Orianna said stuff is needed for the event, such as pavilions, and Alison has that list. Cadifor and Ruaidri’s planned feast menu was recently posted on the Thescorre Yahoo list. (Many comments of “yum.”) The autocrats greatly need volunteers to help set up on Friday afternoon, beginning from at least 1 p.m. onward. Orianna noted that folks who come help can pick the prime camping spots
The expected schedule at this point, barring changes from the Crown or Their Excellencies, is:
10 a.m.             Cedric & Peregrine’s last Court; investiture of Eric & Katja
11 a.m.             martial lists inspections begin and ranges open
11:30 a.m.        melees begin
4 p.m.              Eric & Katja’s first Court, followed by Æthelmearc Court
6:30 p.m.          feast
Katja asked if the fighters and fencers could hold torchlight tourneys on Friday night, since a few fighters had asked her about that (if marshals were available, obviously). Would the site allow it? Orianna said it was fine.

3. Baronial Champions
Katrina presented a bid for a Champs event on September 16 at the same site as Pax, Genesee Country Campground. She has talked to all the current champions about setting up the tourneys. We can use one end of the pavilion for displaying the A&S competition entries, and the other end for food.
Based on the positive responses she got when querying the Yahoo list, Katrina proposed having a potluck instead of a paid lunch or dinner at the event. (There is a large grill, and there is electricity in the pavilion.) Sue has agreed to coordinate the potluck and act as point person to ensure we don’t get 12 people bringing paper plates and no drinks or food. <smile>
The site will charge us only $1 per person for use of the pavilion and field for the one day, so she proposed charging $2 per person for site fee. She estimates that 50 people will attend. Her only event cost will be $10 to $20 for ziplock bags for people to take home food (since the barony kitchen supplies are low on such bags).
            The event proposal passed 22-0-1.

4. Officer Reports

  • Exchequer: We had $4,004.65 in checking and $1,109.14 in savings when I arrived at the meeting, Alina said, but that’s changing since Orianna handed her checks. She has new blank signatory cards; Eldjarn may not remember it, she said, but she asked him to be the third signatory on the barony accounts and he agreed. (Eldjarn smiled.) She still needs a deputy.
  • Herald: We have several Courts planned for Pax, Matilda announced. If you have business for Court, please come see me beforehand.
  • A&S: Kadlin begged for a deputy to remind her to send in paperwork. [Phillipe offered a few minutes later. Vivat!] The latest social meeting subject was a fabric swap, which many folks liked but not many remembered to bring stuff to swap. The next social meeting is July 4, so everyone agreed to cancel that meeting. So, she’ll schedule another fabric and period clothing swap for August.
  • Chatelaine: Dubheasa noted that we’d been asked to do a demo for the Harborfest, but it’s this coming weekend and she’s been playing phone tag, so the plans are scrapped. She and Sigvaldi are still seeking stuff for the demo box. Kadlin reminded folks about the Marion Library mini-demos on July 7, 12, 13, 14, 19, 20, 21, and 26. She urged the barony’s guilds to hold their normal monthly or weekly practices on one or more of those dates; please email her or Sigvaldi if you can participate. She noted, however, that the kitchen area in the library is quite limited. Dubheasa added that the Main Game demo is July 22; this is our rent for using the Adams Street Recreation Center. It’s fun, and it draws people. Fighters, fencers, dancers, and drummers are especially sought.
  • Chirurgeon: Phillipe hopes to complete his inventory of the first aid kit by this Thursday. He reported that between him and Mick there will be 24/7 coverage of Pax.
  • Historian: I’ve gotten some things to catalog, Phillipe said, and he welcomes more.
  • Webministers: Sorcha is awaiting her flogging for not getting the updated policies and procedures online until just recently. She also asked for some previous months’ meeting notes from Katja.
  • Chronicler: Due to the Pennsic crunch, the upcoming Fewmets will be June/July and August/September, Mairghread said. She’s collecting opinions on making the Fewmet electronic. She asked Katrina if, in support of the planned youth artwork issue of the Fewmet in the fall, there could be a table at Champs for kids to create such artwork?
  • Youth Fighting: There are three marshals, Mairghread clarified; herself, Nivah, and Tony. She noted that there isn’t any regalia for the youth champions… Finally, she’s encouraging the youth fighters to participate in the Main Game demo.
  • Rapier: Fencing practice has been occurring here in the park on Thursdays, Yasmina reported. She added that the second Pirates of the Caribbean movie is opening up soon… but unfortunately it’s on the same weekend as Pax. <sad face> This makes it a little difficult to hold a fencing demo on opening night. She’s calling around to see if any of the movie theaters will have a sneak preview on Wednesday; if so, she’ll ask for fencers and minglers to talk to the audience. She suggested that date rather than after Pax, since both she and Grendel will be at the Bog event the following weekend. If it doesn’t work out, Grendel noted, there will some kind of swashbuckler film in the future, like the third Pirates movie, so we can do a fencing demo another time.
  • Drum & Dance: Carlo reminded folks that we have “loaner drums and loaner middles” and that practice is at Dubheasa’s home.
Cooks Guild: Speaking for Bryn, Katja urged folks to come to cooking practices in July, since we’ll be doing lots of stuff and needing help.

5. Miscellaneous Announcements
“Look! It’s a bird, it’s a plane!” Grendel joked, saying that he and Katja planned on seeing Superman Returns next Wednesday; want to turn it into a barony movie night? (This would conflict with western dance practice.)
Katja urged people to teach and attend Æthelmearc Academy next month in the Hael. She pointed out that not only have the event organizers agreed to waive the site fee for teachers, they will reimburse the cost of gas to the event if you request ahead of time. There are a lot of great classes and teachers scheduled, but they could use more!

Orianna is still taking donations for buying Cedric & Peregrine’s court barony coronets; so far, she has about half the funds needed.
